Sometimes a scheduled ride can no longer take place — whether due to bad weather, low turnout, or other reasons. Instead of deleting the ride (which permanently removes all data), Cyql allows you to cancel a ride with a clear reason. Cancelled rides remain visible to members with clear visual indicators, and participants are notified. If circumstances change, a cancelled ride can be reactivated at any time.

What is the difference between cancelling and deleting a ride?
Cancel ride
- Ride data preserved (participants, comments, photos)
- Visible to members
- Reason communicated
- Reversible via reactivation
- Participation disabled
Delete ride
- Ride data permanently removed
- Not visible to members
- No reason communicated
- Not reversible
Use cancel when a ride cannot take place but you want to keep the data and inform participants. Use delete when you want to permanently remove the ride.
Who can cancel or reactivate a ride?
- The ride owner (the person who created the ride)
- A club member with the "Rides Write" permission
- A road captain assigned to the ride
How to cancel a ride via the dashboard
Step 1:
Open the relevant ride in the Cyql dashboard.
Step 2:
Click the "Cancel ride" button at the bottom of the ride page.
Step 3:
Select a reason for the cancellation:
- Insufficient participation
- Bad weather conditions
- Route and/or safety issues
- Organizational reasons
- Other (custom reason)
Step 4:
Optionally enable "Send push notification" to notify all participants.
Step 5:
Click "Cancel ride" to confirm.
How to cancel a ride via the app
Step 1:
Open the ride detail screen in the Cyql app.
Step 2:
Tap the actions menu (three dots) and select "Cancel ride".
Step 3:
Choose a cancellation reason.
Step 4:
Optionally enable push notification.
Step 5:
Confirm the cancellation.
What do participants see when a ride is cancelled?
Ride overview:
- Dimmed ride card
- Strikethrough title
- Cancelled badge with reason
- Sign-up disabled
Ride detail page:
- Red cancellation banner
- Muted, strikethrough title
- Participation disabled
Push notifications
When enabled:
- Cancelled: "A ride has been cancelled" + title and reason
- Reactivated: "A ride has been reactivated" + title
Notifications are sent in the participant’s language. Participants marked as "No" do not receive notifications.
How to reactivate a cancelled ride
Via the dashboard:
- Open the cancelled ride
- Click "Reactivate ride"
- Confirm and optionally send notification
Via the app:
- Open the ride
- Select "Reactivate ride"
- Confirm
After reactivation:
- All cancellation indicators are removed
- Ride appears normally
- Participants can sign up again
Important: Only users with edit permissions (owner, Rides Write, or road captain) can reactivate a ride.
